AMR recognizes that for many associations, the single most expensive and important communication method is the face-to-face meeting. That’s why AMR has an entire department dedicated to planning high-impact functions of all sizes, from intimate board meetings to conferences with hundreds of attendees.

This team, in concert with other AMR staff members, will coordinate and attend more than 30 in-person association meetings and conferences in 2006, from Miami to Vancouver. There, association members will speak, listen, learn, network, lobby, and plan.

AMR staffers begin planning each event as much as two years in advance to ensure that the proper venue and services are selected to meet the needs of each client.

Hold the Phone—Conference Calls are Critical
Finding time to conduct association business can be a challenge for association members, who are increasingly busy working their ‘day jobs’. Conference calls, also known as teleconferences or audio conferences, allow members to come together from worldwide locations when in-person meetings are impractical.

AMR utilizes a professional audio conference service to ensure that every conference call is seamlessly coordinated. As many as 120 people can dial into a single AMR teleconference without the assistance of an operator; in cases where more than 120 attendees are anticipated, operator-facilitated services allow for up to 2,500 participants to join the call.

Webinars and Webcasts—Say What?
AMR routinely conducts Webinars and Webcasts on behalf of association clients, desiring expanded educational opportunities for their members. A Webinar, like the name implies, is simply a seminar conducted over the Internet. Webinars encourage an interactive exchange between the presenter and the audience. A Webcast or Web Broadcast on the other hand transmits information in a single direction.

Worldwide Access—via the World Wide Web
AMR’s in-house creative and technology teams design and host interactive client websites that association members can use to access the latest information, download association publications, and register for conferences, all with the click of a mouse.

Each client website is custom-designed and tailored to the association’s vision. AMR-managed websites are also updated in real time, each business day, to keep up with breaking association news.

Thinking Inside the Inbox (E-mail, Listservs, and Auto-response)
E-mail is one of the fastest and most cost-effective forms of communication. AMR employees send thousands of emails each month to converse with clients and their association members. In addition to standard e-mail transactions, AMR also employs listservs and auto-response e-mails to disseminate information more efficiently.

AMR pushes information to large subgroups of association members using general and targeted listservs, designed to distribute the right information to the right group at the right time.

AMR sends auto-response e-mail confirmations to association members that have registered for conferences, completed online surveys or submitted other requested information to an AMRmanaged association website. Because auto-response e-mails are automatically generated, the recipient receives instant peace of mind day or night.

Despite the speed of electronic communications, snail mail still holds certain advantages. AMR understands that the sincerity of a hand-written thankyou note and the impact of a customprinted conference brochure cannot be adequately replicated through an email.
